Velugu LLC, doing business as Velugu AI ("Velugu AI," "we," "us"), helps dental practices verify insurance benefits, keep their practice management system up to date, and post insurance payments. This policy explains what information we handle, why, and how we protect it.
Two kinds of information. Information about website visitors is covered by this policy. Patient information we handle for a dental practice is protected health information under HIPAA. We handle it only as the practice's business associate, under a signed business associate agreement (BAA), and that agreement controls if it conflicts with this policy.
Information from website visitors
- When you book a demo through Calendly, we receive the details you enter: your name, email, practice name, role, practice management system, practice size and any notes you add. Please don't include patient information in the booking form.
- When you email us at hello@veluguai.com, we receive your message and contact details.
- Basic technical data such as IP address and browser type may be recorded in standard server logs by our hosting provider. We don't use advertising cookies or sell visitor data.
We use this information to respond to you, schedule and run demos, and follow up about Velugu AI. You can ask us to delete it at any time.
Information we handle for dental practices
When a practice uses Velugu AI, we process only what's needed to verify coverage, update plan details and post payments:
- Schedule and patient details: names, dates of birth, addresses and appointment dates for upcoming visits.
- Insurance details: carrier, plan, subscriber and member IDs, and the benefits each carrier reports (coverage percentages, maximums, deductibles, frequencies, waiting periods, downgrades).
- Billing details: invoices, procedure codes, and insurance payments from EOBs.
- Practice account access: the logins the practice authorizes us to use for its practice management system and carrier accounts, and access to verification codes those accounts send. See our Security page for how these are stored and used.
We do not access clinical notes, x-rays or treatment charts.
How we use it
Only to provide the service the practice signed up for: checking eligibility and benefits, preparing updates for the practice's approval, writing approved updates to the practice management system, posting approved payments, and keeping a record of each check and change. We do not sell patient information, use it for advertising, or use it to train AI models.
Service providers
We use a small number of providers to run Velugu AI. Each one that may handle patient information does so under a BAA with us.

Retention
We keep practice data for as long as the practice uses Velugu AI. When a practice ends its service, we return or delete its data as set out in its BAA and agreement with us.
Your choices
- Website visitors: email us to see, correct or delete the information you've given us.
- Patients: your dental practice controls your records. Please contact your practice directly, and they'll work with us as needed.
- Practices: you can revoke our access to your accounts at any time.
Security and breach notification
We protect information with encryption, access limits and audit logging, described on our Security page. If a breach affecting patient information occurs, we will notify the affected practice as required by HIPAA and our BAA.
Children
This website is for dental professionals and isn't directed to children. Patient records of minors are handled only on a practice's behalf, as described above.
Changes
We'll update this page when our practices change and revise the date at the top. Material changes affecting practices will also be communicated directly.
